Privacy & Cookies
Your privacy matters.
This page explains what information Private Presence collects through this website, how it is used and the limited use of cookies required for the site to function.
Who is responsible for your information?
Private Presence is an independent service operated by Sarah Kandlin, a self-employed professional registered in Portugal. Sarah Kandlin is the data controller responsible for personal information collected through this website. For privacy enquiries or requests concerning your personal data, please email enquiries@private-presence.com.
Information collected
The website is designed to collect as little personal information as reasonably necessary.
- Information you provide when making an enquiry, such as your name, email address, approximate residence location, approximate dates and the content of your message.
- Technical information processed by the web server, which may include your IP address, the date and time of your visit, requested pages, browser or device information and server error details. This information is used to operate, secure and troubleshoot the website.
- Temporary session information used to support essential website functions, such as remembering your selected language and protecting the contact form against misuse.
Contact enquiries
When you submit the contact form, the information you provide is sent to me by email so that I can review and respond to your enquiry.
The website does not currently store contact-form enquiries in a separate database. Copies of your enquiry may remain within the email systems used to send, receive and manage correspondence.
Please do not send alarm codes, access credentials, detailed security arrangements or other highly sensitive information through the initial website enquiry form.
How your information is used
- To respond to enquiries and communicate with you.
- To assess whether a requested assignment may be suitable.
- To make practical arrangements where you decide to proceed with the service.
- To operate, maintain and protect the website.
- To meet applicable legal or regulatory obligations where required.
Legal basis for processing
Personal information submitted through the enquiry form is processed to respond to your request and, where relevant, take steps towards entering into a service agreement. Information relating to confirmed assignments is processed as necessary to perform the agreed service. Technical information may be processed on the basis of legitimate interests in maintaining a secure and reliable website. Certain information may also be retained to comply with legal obligations, including applicable accounting and tax requirements.
How long information is kept
Enquiries that do not result in an assignment are retained for up to 12 months after the last correspondence, after which they are deleted unless there is a legitimate reason or legal obligation to retain them for longer. Where an enquiry results in an assignment, relevant information is retained for as long as necessary to manage the service relationship and comply with applicable legal, accounting or record-keeping obligations. Website access logs are subject to a one-month cleanup rule configured with the hosting provider.
Sharing your information
Personal information is not sold or used for unrelated marketing purposes. The website and its associated email service are hosted by xneelo, which processes information as necessary to provide hosting, email delivery and related technical services. Other service providers may be involved where necessary to support communications or the agreed service. Information may also be disclosed where required by law. Only information necessary for the relevant purpose is shared.
